The Oncology BAF Manager (M/F) is responsible for managing, coordinating, and controlling the activities of admission, care, billing, collection, and administrative follow-up of oncology patients, while ensuring the compliance of files, quality of service, and optimization of revenue. The position holder ensures the smooth administrative journey of patients and maintains close collaboration with medical, paramedical teams, and payers.
Responsibilities:
Management of admissions and care
Supervise the administrative reception and admission of oncology patients (consultations, day hospital, hospitalization, and outpatient treatments).
Ensure the creation, updating, and compliance of patient administrative files.
Control the collection and validity of documents necessary for care.
Manage and follow up on requests for prior authorizations and coverage from insurance companies, mutual funds, and payers.
Ensure the administrative continuity of the patient's journey throughout oncological treatment.
Follow up on coverage renewals based on therapeutic protocols.
Billing, collection, and recovery management
Supervise the billing of consultations, chemotherapy sessions, radiotherapy, medical procedures, hospitalizations, and associated services.
Ensure billing compliance with current agreements, codes, and rates.
Control the preparation of quotes, financial estimates, and final invoices.
Supervise collection operations and ensure revenue security.
Follow up on payments from patients and payers.
Participate in the management of debt collection and the processing of outstanding files.
Ensure the reduction of rejections and non-payments related to incomplete or non-compliant administrative files.
Insurance and payer file management
Follow up on agreements with health insurance organizations and mutual funds.
Control the compliance of files submitted to payers.
Manage administrative claims and billing rejections.
Follow up on coverage approvals and renewals necessary for long-term treatments.
Participate in exchanges with external partners to optimize processing and reimbursement times.
Administrative follow-up and compliance
Ensure compliance with administrative and financial procedures applicable to the Oncology Center.
Ensure the physical and electronic archiving of files in accordance with regulatory requirements.
Ensure the confidentiality and security of patient administrative and medical data.
Control the quality and completeness of information entered into the hospital information system.
Team management and leadership
Supervise, lead, and coordinate the BAF team dedicated to oncology activities.
Organize task distribution and ensure optimal resource management.
Define individual and collective team objectives.
Provide support, training, and skill development for employees.
Regularly evaluate performance and implement necessary corrective actions.
Manage conflicts and disputes with patients, their companions, or partner organizations, providing appropriate solutions in line with the institution's procedures.
Coordination with medical and support departments
Collaborate closely with oncology physicians, nursing staff, pharmacy, finance departments, and management control.
Ensure administrative coordination of complex care pathways.
Participate in coordination meetings and improvement projects for the Oncology Center's organization.
Provide departments with the administrative and financial information necessary for the smooth operation of activities.
Process Optimization :
Participate in the development, updating, and improvement of BAF procedures specific to oncology.
Identify shortcomings and propose continuous improvement actions.
Reporting and Analysis :
Monitor performance indicators related to admissions, care, billing, collections, and recovery.
Conduct financial and statistical analyses to optimize revenue and the quality of administrative services.
Propose corrective and preventive action plans based on observed results.
Produce dashboards and periodic reports related to BAF Oncology activities.
Required profile :
Master's degree (Bac +5) in management, accounting, or a similar field. At least ten (10) years of significant experience as a hospital BAF manager. Additional training in hospital management, insurance management, or medical billing is a plus. In-depth knowledge of Moroccan legislation regarding health and social coverage is essential. Proficiency in hospital management software and billing systems. Good knowledge of administrative and accounting procedures related to admission and billing of care. Knowledge of standards and regulations concerning social security, health insurance, and mutual funds. Proficiency in using office tools (Word, Excel, etc.). Rigor, precision, and ability to manage and work in a team. Excellent communication and interpersonal skills. Organizational skills, autonomy, and stress management. Good listening skills and responsiveness to the needs of patients and external partners.
