Job :

The Front Office Manager (M/F) is responsible for overseeing all administrative activities related to patient reception, management of coverage by payers, and billing for healthcare services. He/She ensures the quality, reliability, and compliance of administrative and financial operations throughout the patient's journey.


Responsibilities:

Admissions Management

  • Manage and resolve administrative or financial complaints, conflicts, and disputes with patients, ensuring the quality of patient relations, adherence to the institution's procedures, and providing appropriate solutions in a timely manner.
  • Supervise administrative patient reception.
  • Ensure the quality and reliability of information collected during admission.
  • Verify the completeness and compliance of administrative files.
  • Ensure the smooth administrative process for patients.

Coverage Management

Supervise the processing of coverage requests from payers (insurers, mutual funds, agreements, companies, etc.).
Ensure necessary approvals are obtained within the required deadlines.
Verify the compliance of guarantees and coverages provided.
Follow up on files awaiting validation or additional information.
Collaborate with partner organizations to resolve disputes or discrepancies.
Billing Management

  • Supervise the billing and collection operations for medical and hospital services.
  • Ensure the correct application of rates and coverage terms.
  • Control cash, check, transfer, credit card, and other payment methods.

Management and Organization

  • Supervise, coordinate, and evaluate the Admissions, Coverage, and Billing teams.
  • Organize schedules and ensure service continuity 7 days a week.
  • Define performance objectives and monitor activity indicators.
  • Participate in the recruitment and integration of new employees.

Control and Continuous Improvement

  • Implement and monitor operational procedures for the department.
  • Control the quality of administrative and financial data.
  • Develop activity reports and dashboards.
  • Analyze malfunctions and propose corrective actions. 

Required profile :

Bachelor's degree (Bac +4) to Master's degree (Bac +5) in financial or accounting management.
Significant experience (10 years or more) in hospital billing.
Previous experience in a hospital project context is a major asset.
Additional training in hospital management, insurance management, or medical billing is an asset.
Proficiency in hospital management software and billing systems.
Knowledge of social security, health insurance, and mutual fund regulations and standards.
Competence in using office tools (Word, Excel, etc.).
Rigor, precision, and ability to manage and work in a team.
Excellent communication and interpersonal skills.
Organizational skills, autonomy, and stress management.
Good listening skills and responsiveness to the needs of patients and external partners.
