Project & Position

The Human Resources Department is recruiting a Human Resources File Clerk.

In collaboration and consultation with your supervisor, you will correctly and timely carry out the commercial, organizational, administrative and management tasks within the scope of your role and the set objectives, and you will comply with legal, contractual and internal company guidelines and procedures.

You will independently handle cases in the field of human resources management, as well as all related organizational and administrative tasks. You will assist the HR department by following ad hoc instructions. You will check and evaluate personnel files, including applications, ensure the physical and electronic follow-up of personnel data, prepare documents and process service requests related to personnel. Your tasks include the documentation and archiving of personnel files.

You will work constructively with all relevant internal and external stakeholders in your area of responsibility, ensuring smooth information transfer and the proper administrative functioning of all processes. You will also ensure appropriate internal and external communication, contribute to process development and knowledge management in your field.

Your responsibilities

HR Administration

  • Draft employee contracts, update the personnel file
  • Manage annual leave and special leave for GIZ staff
  • Issue attestations and certificates issued by GIZ
  • Develop simulations on the overall costs of positions
  • Ensure administrative management of workplace accidents
  • Ensure the enrollment of new recruits with the CNSS and mutual insurance
  • Ensure follow-up of CNSS reimbursements with the individuals concerned
  • Manage absences and their follow-up

Payroll Management

  • Ensure coordination for payroll processing in accordance with regulatory provisions (collection, verification and processing, control, and analysis)
  • Ensure the compliance of payroll elements with current legislation
  • Carry out checks on payroll elements
  • Support the processing of administrative, fiscal and social aspects related to payroll activities in accordance with fiscal and social obligations related to salaries (CNSS, IR, Mutual Insurance, etc.)
  • Support the preparation of final settlements for departures and contract endings

Archive Management

  • Ensure the backup, classification and archiving of physical and digital documents related to personnel administration

HR Dashboards Management

  • Track indicators and analyze HR data

Required profile :

Education

  • Bachelor's degree or higher in HR, finance, administrative management, accounting, human resources economics.

Work experience

  • At least 2 years of experience in personnel administration and payroll management.

Knowledge/Skills

  • Mastery of labor legislation (labor code and implementing texts, insurance and social welfare legislation, etc.)
  • In-depth knowledge of payroll techniques and structure
  • Ability to process payroll and personnel administration using payroll software (Sage, SAP, or other)
  • Mastery of advanced data management functions in Excel
  • Mastery of payroll management in all its aspects and of fiscal and social declarations
  • Very good knowledge of French and good knowledge of English
  • Sense of appropriate handling of personnel-related data (confidentiality, data protection)
  • Rigor, method, team spirit, analytical skills, communication skills
