Poste :

The Office Manager will serve as a central operational anchor for the Energy4Water (E4W) at UM6P, ensuring the seamless coordination of administrative processes and the effective functioning of daily activities. This role is designed for highly organized professionals with a strategic approach to task management and a strong command of operational execution in fast-paced, multidisciplinary environments.

Acting as the interface between internal teams and external stakeholders, the Office Manager will be responsible for overseeing scheduling and calendar management, coordinating meetings and events, handling procurement & purchasing follow-up, and ensuring the accuracy and circulation of administrative documentation. The role also entails supporting reporting processes, maintaining communication workflows, and upholding institutional standards across all operational touchpoints.

The successful candidate will demonstrate reliability, discretion, and a forward-thinking mindset, capable of anticipating operational needs and driving continuous improvement in support of the projects strategic and scientific objectives. In alignment with E4Ws mission, the Office Manager will directly contribute to operational efficiency, organizational cohesion, and the timely delivery of project milestones.

Key Duties:

Coordinate daily office operations, manage calendars & purchasing orders and organize meetings, events, and travel logistics
Prepare, format, and archive official documents, correspondence, reports, and presentations
Support procurement and inventory follow-up, including liaising with internal support services
Ensure smooth internal communication and scheduling among researchers, engineers, and administrative staff
Maintain accurate records and filing systems aligned with institutional standards
Facilitate logistical arrangements with external partners and guests

Profil recherché :

Candidate Profile

  • Holds a BAC+2 or BAC+3 in office administration, management, or a related discipline (or equivalent experience)
  • Demonstrates excellent organizational and multitasking abilities
  • Strong communication skills, both written and verbal, with a high level of professionalism
  • Proficient in office software and digital tools (Microsoft Office Suite, scheduling platforms, internal databases)
  • Fluent in English and French
  • Proven experience in a similar role, preferably in a research, academic, or project-based environment
