We are looking for a highly professional and proactive Executive Assistant to support the CEO in a fast-paced industrial environment. The ideal candidate will act as a trusted partner to the CEO by managing administrative, organizational, and communication tasks with a high level of confidentiality and efficiency.
The Executive Assistant will coordinate executive schedules, facilitate internal and external communication, organize meetings and travel arrangements, and ensure smooth day-to-day operations within the CEO’s office.
Key Responsibilities :
Executive Support
Manage the CEO’s calendar, appointments, meetings, and travel arrangements.
Organize and coordinate internal and external meetings, including preparing agendas, presentations, and meeting minutes.
Screen and prioritize emails, phone calls, and correspondence on behalf of the CEO.
Ensure timely follow-up on action items and strategic projects.
Communication & Coordination
Serve as a point of contact between the CEO and internal departments, clients, suppliers, and external stakeholders.
Draft, review, and edit professional communications, reports, and presentations in English.
Coordinate communication flow and maintain strong relationships with key stakeholders.
Administrative Management
Maintain confidential records, files, and executive documentation.
Prepare reports, dashboards, and business summaries for executive meetings.
Support the organization of company events, leadership meetings, and business visits.
Monitor office operations within the Executive Office and ensure administrative efficiency.
Operational Support
Assist the CEO in tracking strategic initiatives and operational priorities.
Coordinate with different departments to ensure deadlines and deliverables are met.
Support ad hoc projects and assignments related to business operations and executive management.
Bachelor’s degree in Business Administration, Management, or a related field.
7-10 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior management.
Experience in an industrial or manufacturing environment is highly preferred.
Fluent in English (written and spoken) is mandatory. French is a plus.
Excellent organizational and multitasking skills.
Strong communication and interpersonal abilities.
High level of discretion, professionalism, and confidentiality.
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
Ability to work under pressure and manage priorities effectively.
