Job :

Position:
The Project Coordinator works closely with the CTL team members to help organize ongoing projects and deliver major organizational projects efficiently. This task involves monitoring project plans, communication, schedules, timelines, budgets, and expenses; organizing and participating in stakeholder meetings; and making sure that project deadlines are met on time. The Project Coordinator handles administrative tasks, including distributing documents and information, collecting reports, and supporting communication.
One of the goals of this position is to help the CTL team keep their workflow management up-to-date, including various administrative tasks.
Main Responsibilities:
•Keeping and monitoring project plans, communication, project schedules and timelines, budgets, and expenses.
•Attending project design meetings and suggesting improvements when needed.
•Assisting in starting and developing projects.
•Coordinating with faculty and partners to define project requirements, scope, and goals.
•Coordinating staff and internal resources and keeping the management workflow on track.
•Providing information and regular support to stakeholders.
•Evaluating possible problems and technical issues and finding solutions.
•Sticking to the budget by watching expenses and using cost-saving methods.
•Providing administrative support as needed.
•Managing project-related records by making sure all necessary materials are current, properly filed, and stored.
•Processing and following up on project budgets.
•Directing project messages by preparing and reviewing project proposals, memos, meeting minutes, and emails.
•Keeping records and ensuring follow-up on important actions and decisions from meetings.
•Organizing and maintaining compliance, license, and warranty information related to CTL facilities.
•Coordinating with different departments and services at AUI to ensure adequate and timely flow of information and follow-up.
•Supporting the use of AI tools and methods in teaching and learning by working with faculty to identify needs, help with implementation, organize training sessions, and monitor the progress and effect of AI projects in education.

Required profile :

Qualifications
Required: Master's degree or similar, with at least 2 years of experience in a similar job
Preferred: Experience in professional development and creating online courses

Knowledge and skills:
•Very good project management skills.
•Knowledge of professional development projects and the process for creating online courses.
•Strong organization and ability to do many tasks at once.
•Very good computer and IT skills.
•Good communication, organization, and people skills.
•Managing documents and using project management tools.
•Knowledge of the principles and practices for providing good customer service.
Abilities:
•Ability to set priorities, take initiative, and handle multiple tasks.

•Ability to work effectively with university departments and different teams.
•Ability to work and finish tasks on time.
•Positive attitude and ability to plan and adjust to changes.
